RESPONSIBILITIES:

  • Provide daily guidance and direction to TMG's mail and office services personnel and balance daily workload among the team.
  • Assist Management with data collection and preparation of required monthly and daily reporting.
  • Monitor and inform Management of operational deficiencies and potential problems. Troubleshoot routine problems and offer solutions to fix errors.
  • Oversees the inspections of mail for suspicious or threatening mail and separates mail by different types.
  • Verify records and logs of mailing. Perform accurate data entry as needed. Oversee system to track misdirected or lost packages.
  • Analyze customer mailing and office needs and offer clear and concise solutions. Prepare documentation associated with special project handling.
  • Other duties as assigned.
  • Oversee and perform process of receiving, sorting, and distribution of incoming mail (e.g. letters, parcels, U.S. Postal, and interdepartmental) to appropriate recipients and departments.
  • Ensure all outbound packages are properly recorded and all required documentation is in order and/or attached. Maintain time, volume, and delivery records.
  • Monitor inventory control practices of mail, shipment, and general office supplies. Pick up and deliver supplies to designated locations as needed.

 QUALIFICATIONS:

  • High School diploma or GED equivalent required.
  • 6 months to 1 year experience in a supervisory or lead position
  • Minimum of 2-4 years of Mail and related office services experience preferred with knowledge of commonly used Office Services procedures.
  • Proficiency in MS-Office: Word, Excel, Outlook, and Power Point.
  • Ability to appropriately handle confidential and highly sensitive material.
  • ompetency in performing multiple functional tasks.
  • Ability to handle mail or hand cart, as well as flatbed.
  • Knowledge of using UPS, FedEx, DHL shipping methods.
  • Assertive and resourceful; self motivated; willing to ask questions and take initiative be able to communicate clearly.
  • Consistently demonstrates professional demeanor, appearance and attitude.
  • Ability to lift up to 50lbs.
