Under the direct supervision of the manager, the Mail and Copy Services Associate is responsible for the accurate sorting and timely distribution of incoming/outgoing mail and material. Also responsible for producing high quality copy and print requests directly for clients. 

Work Schedule: Monday through Friday 9am-6pm

Essential Duties and Responsibilities:

  • Serve as liaison between TMG's mail and office services team and client departments. 
  • Responsible for receiving, sorting, and distributing incoming mail (e.g. letters, parcels, U.S. Postal, and interdepartmental) to appropriate recipients and departments. 
  • Make timely collection of outgoing mail. Prepare and process outbound courier shipments using computer or service provider's equipment.
  • Track and maintain records and logs of mailing. Perform accurate data entry as needed.
  • Responsible for inventory control of mail and shipment supplies. Pick up and deliver supplies to designated locations as needed for mailing projects 
  • Monitor, evaluate and produce according to schedule all digital print and finish work, including flyers, booklets, presentations and other material in a quality and timely manner.
  • Coordinate with client and customers on job requirements (including: supplies, due dates and quality checks); work with clients on printing issues 
  • Produce daily schedules of the completion of all digital jobs and finishing requirements 
  • Monitor and oversee all print jobs for accuracy (performing various Quality control checks) based on client requirements.
  • Monitor and update workflow sheets based on job completion; Assist in generating reports measuring production volumes, meter reads and billing totals. 
  • Monitor inventory of all paper, products and supplies and report to Operations Manager. 
  • Make any recommendations to management on equipment upgrades or improvements.
  • Operate production printers/copiers, including inputting job-processing settings and managing job queues.
  • Other duties as assigned

Qualifications and Requirements:

  • High school diploma or equivalent required.
  • Minimum 1 year customer service and/or office related experience preferred.
  • Basic Mathematical skills.
  • Minimum 1 year demonstrated mail/shipping and receiving experience a plus
  • 1-2 years with Microsoft Software.
  • Handle multiple projects at one time.
  • Ability to effectively work individually and in team environment.
  • Excellent written and verbal communication skills.
  • Ability to meet employer's attendance policy.
  • Keyboarding and Windows environment PC Skills.
  • Ability to lift up to 50 lbs.
  • Attention to detail.
