Essential Duties and Responsibilities:

  • Open & close operations on a daily basis.
  • Receive mail at mail room from USPS letter carrier and sign for express, registered and certified mail.
  • Receive FedEx, UPS and Messenger packages at mailroom.
  • Email customers to pick up their mail & packages
  • Reconcile all incoming & outbound pieces on a daily basis.
  • Process incoming couriers packages Internal Tracking System, label and place on racks for members to be pick up.
  • Ensuring the accurate sorting and delivering of all incoming packages and other shipments to the proper addresses through the tools provided.
  • Prepare and process outbound courier shipments using computer or service provider's equipment.
  • Receive outgoing mail (letters and parcels) and place on rack for pick up
  • Receive outgoing UPS & FedEx packages and place on rack for pick up
  • Pick up outgoing mail, packages and boxes, using cart or, for larger items hand truck or dolly.
  • Inspecting the received goods, making note of any damages and discrepancies, and immediately reporting the same.
  • Maintaining quality customer service by providing friendly and responsive processing and distribution of incoming and outgoing mail, packages and other shipments.
  • Inspect deliveries for suspicious or threatening items.
  • Utilize handheld scanners to deliver packages and obtain proof of delivery signatures.
  • Enter activity data in logs, maintain records.
  • Have good working knowledge of mail and computer basics.
  • Researching mail, packages and other shipments to unknown or unrecognized addresses.
  • Deliver office supplies and copy paper.
  • Answer phone in a professional manner.
  • Ensure the cleanliness and safety concerns of all operating spaces and associated areas.
  • Cross-training and backup of other employees in the event of emergency or contingency situations.
  • Other duties as assigned by manager.


  • High school diploma or equivalent required; Associate's degree preferred.
  • 3 years or more of experience as a receptionist in a corporate environment.
  • 1-3 years' experience with Microsoft Office Software (Word, Excel, and Outlook).
  • Strong work ethic; diplomatic; team and service oriented; builds strong working relationships.
  • Exhibits superior verbal communication and phone skills.
  • Exhibits exceptional customer service skills.
  • Consistently demonstrates professional demeanor, appearance and attitude.
  • Proven ability to remain calm under pressure; resilient.
  • Sound judgment and problem-solving ability.
  • Able to appropriately handle confidential and highly sensitive material.
  • Demonstrated ability to be flexible and adapt to an ever-changing work environment.
