RESPONSIBILITIES:

  • Ability to commute to locations located in the Greater San Francisco metropolitan area including Pleasanton, Concord, Oakland......)
  • Step in for other associates who need coverage
  • Able to communicate effectively with many different types of people
  • Perform multiple tasks
  • Ensure all safety procedures are followed at all times
  • Filing of customer files on a daily basis both hard copy and electronic
  • Performs scanning and any prep work required to the documents before scanning into electronic format
  • Working in various systems to find or identify policy and claim information to determine proper routing
  • Indexing daily mail to determine handling staff and forward accordingly
  • Process and forward daily mail via electronic file system
  • Purge files
  • Deliver and pick up mail
  • Operate postage machine to process mail
  • Prepare items and mail pieces for processing, shipment or transportation
  • Maintains time, volume and delivery records
  • Ensure the highest levels of customer care on the phone, in email and in person
  • Follow policies and confidentiality dictations to safeguard data and information
  • Handles Meeting Services Set Up (arranging tables and chairs, refreshment service)
  • Stocking of paper and supplies in all copy centers
  • Servicing Coffee Stations
  • Stocking Office Supplies
  • Other responsibilities as assigned

QUALIFICATIONS:

  • High school diploma or equivalent.
  • Two or more years of experience as a Customer Service Associate in a corporate environment.
  • Strong work ethic; diplomatic; team- and service-oriented; builds strong working relationships.
  • Exhibits superior verbal communication and phone skills.
  • Consistently demonstrates professional demeanor, appearance and attitude.
  • Proven ability to remain calm under pressure; resilient.
  • Sound judgment and problem-solving ability.
  • Anticipates challenges and key deliverables well in advance of deadline; adept at forecasting needs and plans workload and calendar accordingly; performs tasks with a sense of urgency and consistently meets deadlines.
  • Able to appropriately handle confidential and highly sensitive material.
  • Demonstrated ability to be flexible and adapt to an ever-changing work environment.
  • Assertive and resourceful; motivated; willing to ask questions and take initiative without direction must be fluent in English and be able to communicate clearly.
