Oversight of the Office Services staff at Petaluma and Alpharetta offices  with meeting services, mail services, scanning, filing and uploading documents, preparation of coversheets, data entry, indexing mail, office services, etc.  Responsibilities including, but not limited to, the following: 

Responsibilities:


  • Maintain successful staffing model and consistently review the model by performing data analysis to
    identify trends and opportunities to optimize solutions in terms of cost and efficiency.
  • Act as the primary point of contact to ascertain needs, answer questions, respond to complaints and resolve problems relating to any of the employees, services or operations for both offices.
  • Authority to make decisions regarding changes to processes and procedures as requested by the client.
  • Manage and oversee day-to-day operations of Office Services. Ensure job aids are adhered to in a consistent manner.
  • Plan, execute, track, and report on all Office Services activities.
  • Meet all applicable health and safety standards.
  • Manage associated vendors to ensure effective and economical operation of the services.
  • Reporting, including SLA reports.
  • Quality assurance Office Services.
  • Training of Office Services staff at both offices.
  • Be immediately responsive to Operations Director.

Qualifications:

  • High school diploma or equivalent.
  • Minimum  3 years of Supervisory experience.
  • Minimum  3 years customer service and office related experience preferred.
  • Intermediate Computer skills.
  • Strong detail and data entry skill set
  • Demonstrate the ability to be flexible and adapt to change in the work environment.
  • Strong work ethic; diplomatic; team player and service-oriented; builds strong working relationships.
  • Handle multiple projects at one time.
  • Lifting up to 50 lbs.
  • Attention to detail.
  • Must be able to pass a background test.
