Key Responsibilities:

  • Manage and process International Shipping process to include the customs clearance and documentation preparation.
  • Manage third party freight auditing company for accuracy and validation.
  • Effectively manage and utilize all applicable modes of transportation: TL, LTL, courier, small package, air freight etc. by analyzing and evaluating best practices for Freight and transportation. Acts as the broker for shipments between Global locations.
  • Manage both domestic and international outgoing freight shipments ensuring proper, accurate and timely dispatch of outbound shipments following all proper DOT regulations and customer requirements.
  • Prepare packing lists for product shipments consistent with customer requirements including export documents, as required.
  • Ensure all shipments are in regulatory compliance.
  • Generate pick-lists and ensure order completeness prior to shipment.
  • Verify completion of outside processes on order before shipping by working cross-functionally with the Purchasing department.
  • Process international material shippers for shipment and closeout all material shippers daily.
  • Coordinate export compliance issues and domestic shipping issues with shippers, as required, including shipment tracking and lost freight issues.
  • Manage "same day" packages to ensure same day shipment.
  • Coordinate all special requests as documented or requested by shipper. For example: special crating, palletizing, or customer labeling.
  • Stay current on international exporting changes such as new commodity codes and customs regulations.
  • Participate in export/import compliance audits.
  • Other projects as required by manager of the department.
  • Shipping & Receiving Management Summary
  • Manage delivery of operations of the Shipping & Receiving Department across multiple locations. The Shipping & Receiving team is responsible for providing general S&R functions to associates in multiple locations.
  • Manage and give daily guidance and direction to the Mail Service and Shipping & Receiving Clerks at Bay Area campuses.
  • Adheres to all vendor compliance requirements for Mail, Shipping & Receiving: direct staff accordingly.
  • Solves day-to-day problems regarding mail delivery and shipping/receiving services.
  • Extensive client interaction with primary focus of achieving and surpassing client service goals.
  • Prepare and distribute accurate monthly reports.
  • Handle all materials received in the Mail Center [receive, review, receipt, document, process, prepare, identify, separate, deliver, transport, etc.].
  • Physically distribute mail and Courier packages by cart, dolly or hand truck to and from various departments throughout the building/campus.
  • Maintains efficient workflow by holding direct reports accountable for quality and efficiency of their work while meeting quality and deadline standards by the effective use of job scheduling practices.
  • Create and manage succession plans for all areas of responsibility.
  • Ensure adherence to business guidelines, safety & security procedures
  • Keep client and Area Operations manager informed daily of operational efficiencies and potential problems.
  • Must demonstrate leadership qualities while resolving interpersonal conflicts and nurturing team work among the teams.
  • Clearly communicate job expectations/consequences of employees by training, cross-training, coaching, counseling, directing, evaluating the work of subordinates to increase their work output and work quality.
  • Establish clear measurable goals and objectives by which to determine individual and team results (i.e. operational metrics, results against project timelines, training documentation, attendance records, knowledge of operational roles and responsibilities, personal development goals).
  • Prepare annual employee appraisals and evaluate daily performance.
  • Utilize tools to monitor departmental cost and cost trends, striving continuously to improve value

 Qualifications:

  • 3-5 years experience managing an operation of 30+ employees (including multiple levels of leadership)
  • Must have excellent working knowledge of shipping, receiving and logistics services
  • Strong organizational and administrative skills
  • Proven ability to lead a team, provide direction and proactively solve problems and issues as they arise
  • Proven ability to work in a fast-paced, high energy environment
  • Ability to identify and communicate process improvements
  • Physical effort is required which may involve long periods of standing, walking, bending, reaching, stretching, climbing or similar activities as well as lifting or moving items weighing up to 50 pounds.
  • Exceptional leadership expertise and demonstrated track record of creating employee engagement, hiring, retaining and developing staff
  • Ability to build strong internal and external business and customer relationships
