Key Responsibilites:

  • Operates multiple-call telephone switchboard console and routes calls to the appropriate person or location within the office and externally. Exercises discretion and interpretive judgment in frequent and sometimes stressful contacts with callers.

  • Greets customers, vendors, employees from other locations and other visitors with high degree of professionalism and courtesy

  • Provides administrative assistance such as typing letters, preparing reports, maintaining files and entering data into spreadsheets.

  • Reserve conference rooms and coordinate with external catering companies to provide catering for meetings if needed

  • Assistant liaison for client's lead receptionist running day to day operations of the office including new hires, policy implementation, and organizing of company events.

  • Acting as a ""go to"" point of contact for clients and guests

  • Submit facility requests for items that need to be repaired on our floors and conference center

  • Answer emails regarding facilities, mail/shipments and needs of the office

  • Counting all inbound goods and authenticating the receipt of the same in accord with the shipping note.

  • Prepare and process outbound courier shipments using computer or service provider's equipment.

  • Maintaining quality customer service by providing friendly and responsive processing and distribution of incoming and outgoing mail, packages and other shipments.

  • Ensuring the accurate sorting and delivering of all incoming packages and other shipments to the proper addresses through the tools provided.

  • Inspect deliveries for suspicious or threatening items.

  • Utilize handheld scanners to deliver packages and obtain proof of delivery signatures.

  • Pick up outgoing mail, packages and boxes, using cart ,or, for larger items 40 pounds or under use of hand truck or dolly.

  • Remaining vigilant about the 1st floor access doors operations, including the oversight of all access via shipping/receiving entrance.

  • Help ensure that only employees and their authorized guests are within the space.

  • Oversight of the Visitor Management system for the location and ensure that all visitors have signed into the VM tool (Envoy) and completed/signed an NDA.

  • Ensure the cleanliness and safety concerns of all operating spaces and associated areas.

  • Cross-training and backup of other employees in the event of emergency or contingency situations.

  • Have good working knowledge of mail and computer basics.

  • Completing other tasks as may be assigned.


  • High school diploma or equivalent.
  • Minimum 1 year customer service and office related experience preferred.
  • Basic Computer skills.
  • Postage Meter, UPS, FedEx, DHL knowledge.
  • Demonstrate the ability to be flexible and adapt to change in the work environment.
  • Strong work ethic; diplomatic; team player and service-oriented; builds strong working relationships.
  • Handle multiple projects at one time.
  • Lifting up to 50 lbs.
  • Attention to detail.
  • Must be able to pass a background test.
