Key Responsibilities:

  • Responsible for receiving, sorting, and distributing incoming mail (e.g. letters, parcels, U.S. Postal, and interdepartmental) to appropriate recipients and departments.
  • Make timely collection of outgoing mail. Prepare and process outbound courier shipments using computer or service provider's equipment.
  • Track and maintain records and logs of mailing.
  • Perform accurate data entry as needed.
  • Responsible for inventory control of mail and shipping supplies.
  • Pick up and deliver supplies to designated locations as needed for mailing projects.
  • Check and maintain each printer room daily:
    • discard old/unwanted print-outs by dropping in shred bins;
    • refill paper trays
    • straighten out and restock office supplies, if needed
    • report if reams of paper and printer toner are out of stock or running low
    • check used battery containers; if full, process process for shipping use batteries to vendor
    • check shred bins; if full then empty into bigger bin if needed.
  • Check all conference room clocks for correct time 2x a year (Daylight Savings Time adjustements).
  • Wipe down/dust printer in each printer room on a weekly basis.
  • Assist Facilities Specialist with the following tasks, on as-needed basis:
  • Conference room and event set-ups.
  • New hire desk set-ups.
  • Installation of whiteboards, keyboard trays, computer monitor holders.
  • Process Facilities work orders
  • Other duties as assigned.


  • High School diploma
  • 1 - 3 years of office services related experience
  • Strong mechanical aptitude (helpful, not required)
  • Must be customer focused and display a professional demeanor
  • Experience with a computer and iPad
  • Communicate effectively both orally and writing
  • Maintain detailed and accurate reports
  • Establish and maintain a good working relationship with Client's Facilities staff, employees and other contractors
  • Ability to carry out assigned tasks and projects to their completion
  • Ability to identify and solve routine problems as they occur
  • Physical demands and requirements of this position include standing, walking, witting, reading, stooping, climbing
  • Ladders, crawling in through low spaces, heavy lifting and moving of computers and other heavy equipment
